Security Administrator (Rosslyn, VA) DoS

McManis & Monsalve Associates (MMA) is currently recruiting for a Security Administrator (Security Administrator III) in support of a contract with the Department of State at our Rosslyn, Virginia location.  Position is full-time, exempt. Start date is immediate upon selection and security clearance processing and receipt.

SUMMARY

In support of the Department of State (DoS), Diplomatic Security (DS), Threat Investigations and Analysis (TIA) Directorate, individual will perform a variety of security-related access control and other administrative and coordination duties to assist with program management in a secure space. Provide general escort oversight, visitor access, and administrative coordination in support of access and other functions.

PRINCIPAL DUTIES AND RESPONSIBILITIES

Duties and responsibilities include but are not limited to:

  • Serve as the first point of contact for visitors, employees, and others requiring access to secure work space.  In this capacity, greet personnel, determine their purpose for entering the secure work area, verify their clearance level, ensure compliance with the rules and regulations regarding personal electronics use in the area, and facilitate or provide positive escort within the space.  Monitor any cameras, phones, or other equipment in place to provide positive access control to the work area.
  • Research databases to check clearances and verify identity of persons seeking access to the work area or who are performing general functions in the elevator lobby or hallways external to the work area. 
  • Direct visitors to specific points on the floor, providing escort if needed and/or contacting the person’s point of contact to ensure they are met in a timely manner. 
  • Manages all electronics lockers in office lobby and assists with locker assignments and lockouts.
  • Oversee access to any storage facilities, data closets, or other external areas in order to prevent unauthorized entry or penetration into the secure work space.
  • Maintain logs of information and personnel to ensure a high level of office security for employees and visitors.
  • Create reports and monthly/quarterly reviews related to access, including numbers of personnel entering the space, any issues/concerns encountered, and implementation of improved access processes.  Review access roster on a quarterly basis, working with appropriate offices to request removal of individuals no longer needing entry to the space. 
  • Coordinate processes and procedures with uniformed guards, facilities services, Special Security Officers, and other offices responsible for providing security, maintenance, and oversight in order to maintain compliance with rules and regulations governing access to secure spaces.  Serves as Unit Security Officer and assists with emergency egress of employees and entry of first responders/emergency personnel in case of need.
  • Provide general administrative support to the TIA program office, as needed and as identified by the program office’s administrative/operations division.
  • Provide data entry, extraction, analysis and reporting for various databases currently in use, under development, or planned for the various functions of the program office.  Provide document analysis, document processing, and technical writing support for the administrative and program activities, as needed to fill gaps in existing administrative duties.  These include procurement/purchase actions, budget requests pertinent to access issues, projects related to physical security, personnel tracking, and other activities to assist with administrative management within the program office.
  • Additional training into other responsibilities will be provided as clearance and experience progresses.

REQUIREMENTS

  • High School diploma or GED and three (3) years of administrative experience to include handling official correspondence in electronic and paper formats.
  • Must be proficient with Microsoft Word; have basic skills with Excel and PowerPoint; and other database software experience desired.
  • Must have excellent written and oral communications skills, and the ability to interact with individuals at all levels.
  • Must have excellent organizational skills, and the ability to work independently and as a member of the team.
  • Ability to work in a fast-paced environment to meet deadlines and handle pressure situations is a must.
  • Must possess strong clerical and analytical skills and the willingness to learn any specific program requirements of the position.

Mandatory Requirement:  Applicants selected for this position may be subject to a Government Security Investigation and must meet eligibility for access to classified information, Top Secret/SCI clearance level.  Entry onto duty will be assigned upon receipt of a final TS/SCI clearance; interim clearances cannot be accepted for all program offices.
